We are the data controller for the personal information described in this policy. This means we decide how and why it is used.
What information we collect
When you contact us or make a referral, we collect the information you give us, such as your name, email address, phone number, your young person’s name, date of birth and school, and any details you share about why you are seeking an assessment.
During an assessment, we collect information needed to carry it out. This can include developmental history, health and educational information, reports from other professionals, notes from sessions, and the final assessment report. This is health information, which the law treats as special category data and protects more strictly.
When you visit our website, our website provider, Squarespace, collects some technical information, such as your IP address, browser type and the pages you visit. See our Cookie Policy for more detail.
When you make a payment, payments are handled by [payment provider]. We do not see or store your full card details.
How we use your information
We use your information to:
respond to enquiries and referrals
manage our waitlist and arrange appointments
carry out assessments and write reports
share reports with you and, with your consent, with others such as schools or the HSE
take payment and keep financial records
meet our legal and professional obligations
keep our website working and secure
We do not sell your information or use it for marketing without your consent.
Our legal basis
Under the General Data Protection Regulation (GDPR) and the Data Protection Act 2018, we rely on the following:
Contract: to provide the service you have asked for, including steps before an assessment begins.
Provision of health care: to process health information as part of an assessment carried out by qualified professionals bound by confidentiality (Article 9(2)(h) GDPR).
Consent: where we ask for it, for example before sharing a report with a school. You can withdraw consent at any time.
Legal obligation: to keep records required by law, such as financial and clinical records.
Legitimate interests: to run and secure our website and business, where this does not override your rights.
Young people’s information
Referrals are usually made by a parent or guardian. We explain to young people, in a way suited to their age, what information we hold and why. Young people have their own rights over their information, and we take their views into account, particularly as they get older.
Who we share information with
We only share information where necessary:
with people you have agreed we can share with, such as schools, GPs, the HSE or the Department of Education
with service providers who help us run the practice, such as our website host (Squarespace), email provider ([provider]), [practice management or records system] and [payment provider]. They only use your information on our instructions.
where the law requires it, for example child protection obligations under Children First
Transfers outside the EU
Some of our service providers, including Squarespace, may store information outside the European Economic Area. Where this happens, we rely on safeguards approved under GDPR, such as the EU-US Data Privacy Framework or Standard Contractual Clauses.
How long we keep information
Enquiries that do not lead to a referral: [e.g. 12 months]
Assessment and clinical records: [e.g. until the young person’s 25th birthday, or 8 years after the last contact, whichever is longer]
Financial records: 6 years, as required by Revenue
We store records securely and delete or destroy them safely when no longer needed.
Your rights
You have the right to:
access the information we hold about you
ask us to correct inaccurate information
ask us to delete information, where we are not required to keep it
ask us to restrict or stop using your information in certain cases
receive your information in a portable format
withdraw consent at any time, where we rely on consent
To make a request, email info@rewildtherapy.ie. We will respond within one month.
Complaints
If you are unhappy with how we handle your information, please contact us first. You also have the right to complain to the Data Protection Commission at www.dataprotection.ie.
